Definition: small orders

The Health Science Center Purchasing Department Guidelines defines small orders as less than $5,000.00.

Small order process

Department/Unit Staff Submit multi purpose requisition to Central Stores

Central Stores If available in stores, goods will be delivered to department/unit
3
Central Stores If requested goods are not a "stock item", Central Stores notifies requisitioner and sends requisition to Financial Operations

Central Stores Reviews requisition for completeness. Enters requisition information into transaction log

Financial Operations Reviews requisition for completeness.

Financial Operations Enters the requisition into Peoplesoft FMS (within 1 business day of receipt of requisition)
7
Central Stores Reviews FMS worklist daily and updates transaction log (located at F:\info\requisition log 2005)

Central Stores Delivers goods to ordering department (within one business day of receipt), enters information in the transaction log and forwards the packing slip to Financial Operations)

Central Stores If item is back ordered, Central Stores records the back order in the transaction log, notifies originator and the department manager

Financial Operations Financial Operations enters packing slip information into FMS (slips to be delivered to Financial Operations at the end of each business day).

Financial Operations If item is back ordered, Financial Operations will call vendor, acquire expected delivery date and updates transaction log.

Department/Unit Staff If backorder creates a hardship, department manager/head will notify Central Stores to seek a suitable substitution
